Manage pickup, delivery and shipping orders

See your pickup, delivery and shipping orders, move them through their statuses, check pickup security codes and schedule orders you create yourself.

The Orders page lists every pickup, delivery and shipping order your customers placed with the app. Open an order to see what to prepare and when the customer is coming, then move it through its statuses so customers get the right message at the right time. You can also check a pickup security code, fix an order's schedule, and schedule orders you create yourself in Shopify.

Before you start

  • An order appears here only when the customer chose pickup, delivery or shipping in the cart widget, or when you scheduled it yourself (see "Schedule orders you create yourself" below). Orders placed without a choice stay in Shopify only. See Let customers choose pickup, delivery or shipping in the cart.

  • Customer emails and text messages are off when you install the app. Turn on the ones you want in Settings → Email notifications and Settings → SMS. Until you do, customers get no message when you change an order's status.

The Orders page

In the app, click Orders. The Orders tab shows your orders, with the latest at the top.

Each row shows:

  • Order: the order number and the customer's name.

  • Schedule: the date and time the customer chose. Shipping orders show a date only. The cell is empty when the order has no date.

  • Type: Pickup, Delivery or Shipping.

  • Total: the order total and currency.

  • Status: where the order is in your process: Requires preparation, Ready, Picked, Dispatched or Completed (see below). When Shopify marks the order Cancelled, Refunded, Partially refunded, Voided or Fulfilled, a second badge shows next to the status.

  • Actions: the eye icon opens the order in Shopify. The pencil icon opens the order details in the app.

Search, filter and export

  • Type a customer's email in Search by Customer Email to find their orders.

  • Click the filter icon to narrow the list by Order Number, Order ID, Customer Name, Location Name, Company Name, Order Type, Status, Date From and Date To. Click Clear to remove the filters.

  • Click the export icon to download the orders as a CSV file, orders_export.csv. The file follows your search and filters, and has the order number, order ID, customer name, email and phone, status, type, total, currency, location ID, creation date and fulfillment date.

Open an order

Click the pencil icon on a row. The order page shows what to prepare and where it goes.

  • Products: each item with its photo and quantity.

  • Pickup details, Delivery details or Shipping details: the date and time the customer chose, the address, the Customer notes and the Total item count. The copy icon next to the address copies it.

  • Customer: the customer's name and email.

The address is the shipping address saved on the order when it was placed. For a pickup order, it is the pickup location's address when Prepopulate shipping address fields is on in Settings → Store pickup. Changing the address in Shopify later doesn't change it here.

If the order was cancelled, refunded, voided or fulfilled in Shopify, a banner at the top of the order page says so. Check it before you prepare the order.

Move an order through its statuses

Every order starts as Requires preparation. The main button at the top right of the order page moves the order to its next status.

Made a mistake? The second button next to it, for example Revert to require preparation, moves the order back one step. Going back sends the customer that status's message again, and doesn't undo a fulfillment or an archive in Shopify.

Pickup orders

  1. When the order is packed, click Mark as ready for pickup. The status changes to Ready for pickup.

  2. When the customer collects it, click Mark picked up. If the pickup security code is on, the app asks for the code first (see below). The status changes to Picked up.

  3. When you're done with the order, click Mark order as completed. The status changes to Completed.

Delivery orders

  1. When the order is packed, click Mark as ready for delivery. The status changes to Ready for delivery.

  2. When the order leaves for the customer, click Mark as dispatched. The status changes to Dispatched.

  3. When the order is delivered, click Mark order as completed. The status changes to Completed.

Shipping orders

Shipping orders have no status buttons. They show Requires preparation until you fulfill them in Shopify. If you haven't changed an order in the app, fulfilling it in Shopify marks it Completed here, unless Automatically fulfill new orders is on in Settings → Inventory.

What customers receive and what Shopify does

Every status change saves the new status, with the order's pickup or delivery details, in the order's Additional details in Shopify. This table shows what else happens at each status.

Check the pickup security code

A security code makes sure the right person collects an order. Each order gets an 8-character code, and customers receive it only in the Order ready for pickup email or text message. New installs have the security code on but these messages off, so turn on at least one of them in Settings → Email notifications or Settings → SMS first.

  1. Go to Settings → Store pickup.

  2. In Pickup security code, turn on Enable pickup security code, then save.

  3. When a customer arrives, open their order and click Mark picked up.

  4. Enter the code the customer shows in Security Code and click Verify & Mark Picked Up.

If the code doesn't match, the app shows Invalid security code. Please try again. and the order stays as it is. The code isn't shown on the order page, so the customer needs to bring it.

Enable QR code scanning on Shopify POS, in the same card, adds a QR code of the security code to the Order ready for pickup email. Staff scan it in the Appstle Order Manager tile on Shopify POS.

Correct an order's schedule or address

Click Edit in the details card of an order to open Update Attributes. Choose Pickup, Delivery or Shipping, then set the location, date, time, address and note. The date is written as 2026-11-04 and the time as 10:00 AM - 10:10 AM. For pickup, the location name, company name, country, address, city and zip code are required.

The form doesn't fill the address in from the location you pick, so check it before you click Update. Your changes show in the app straight away and reach the Shopify order the next time you change the order's status. Shipping orders have no status buttons, so their changes stay in the app.

Schedule orders you create yourself

Take orders by phone or in person with Shopify draft orders, and give them a pickup, delivery or shipping date in the app. They then appear in Orders like any other order.

  1. In Shopify, create a draft order with the products and the customer.

  2. In the app, click Orders, then the Draft orders tab.

  3. Find the draft order and click the calendar icon, Schedule pickup or delivery.

  4. Choose the type, location, date and time, and check every field, including the address. The form can still show values from the last draft you opened.

  5. Click Update.

  6. In Shopify, collect payment or mark the draft order as paid, and create the order.

Draft orders you've turned into orders show Completed and the order number. Their calendar icon is off, because you change completed drafts from the Orders tab. Use Search by draft order, customer name or email to find a draft.

Things to know

  • Archive order once picked up. New installs have this on in Settings → Store pickup. While it's on, Shopify archives a pickup or delivery order as soon as you change its status in the app, not only when you mark it picked up. Archived orders stay in Shopify. To see them, filter the Shopify Orders page by archived orders.

  • Cancelled orders free their slot. If you cancel an order in Shopify, the date and time it held open up again for other customers.

FAQs

Why isn't an order in the list?

Only orders where the customer chose pickup, delivery or shipping, or that you scheduled from a draft order, are listed. If a customer didn't see the cart widget, check the steps in Let customers choose pickup, delivery or shipping in the cart.

The pickup address on the order is the customer's home address. Why?

The address is the order's shipping address. Turn on Prepopulate shipping address fields in Settings → Store pickup so pickup orders carry the location's address. It applies to new orders only.

Why didn't my customer get an email or text message?

Customer messages are off until you turn them on. Go to Settings → Email notifications or Settings → SMS and turn on the message for that status. Pickup orders get no message when you mark them Completed.

Why did an order disappear from my open orders in Shopify?

The app archived it. Marking an order Completed always archives it, and with Archive order once picked up on, any status change does. Filter the Shopify Orders page by archived orders to find it.

A customer doesn't have their security code. What can I do?

The app doesn't show the code, so ask the customer to check their Order ready for pickup email or text message. If they can't find it, confirm who they are another way, turn off Enable pickup security code in Settings → Store pickup, mark the order picked up, then turn the setting back on.
