Manage and customize your membership emails

Turn each membership email on or off, test it, get a copy, change how it looks and email many members at once.

Appstle Memberships emails your members when something happens to their membership: they join, a renewal is coming up, a payment fails or their plan changes. On the Email Settings page you turn each email on or off, send yourself a test, get a copy of what members receive, change how every email looks and reads, and send one email to many members at once.

To open it, go to More → Subscriber Acquisition & Automation → Email Settings. The page has three tabs: Email Templates, Bulk Emails and Custom Email Domain.

Before you start

  • Check which service sends your emails. The banner above the list on the Email Templates tab names it, for example “Emails will be sent using Appstle email service”. If it names Klaviyo or Omnisend, that service sends your emails through flows you build there. Build a flow for each email you want, and keep those emails Active in Appstle, or the flows never start. See how to connect Klaviyo or Omnisend.

  • Test emails, and the copies you set up with Enable Admin Notification, can go only to addresses saved under Allowed Email Addresses For Notifications in Shop Settings. Only the store owner can change that list, so ask them to add your address first. See Shop Settings: change how memberships behave across your store.

The emails your members can get

The Email Templates tab lists 15 emails. Each one shows an Active or Inactive badge and its default subject line. This table says when each email is sent.

Email

Sent when

Membership Created

A customer joins a membership. Memberships you import don’t get it.

Upcoming Renewal

A renewal is coming up: 1 day before it, unless you change the Upcoming Renewal Email Buffer (see below).

Next Renewal Date Updated

The next renewal date changes.

Renewal Frequency Updated

The renewal frequency changes.

Membership Paused

A membership is paused.

Membership Resumed

A paused membership is resumed.

Membership Canceled

A membership is canceled.

Transaction Failed

A renewal payment fails.

Transaction Success

A renewal payment goes through.

Expiring Credit Card

The card on file is about to expire.

Security Challenge

The card issuer asks the member to verify a renewal payment. The app pauses the membership at the same time.

Membership Product Replaced

A member’s plan changes, for example in an upgrade or a downgrade.

Recurring Discount Code

Your Email Discount Code To Members perk (under Plans & Perks → Membership Perks) sends a member a discount code, as often as the perk is set to. Only members with an active membership get it.

Membership Management Link

A member asks for a new link to their member portal, or you send one: go to Memberships → More actions → Show Members, click the member’s name, then click More actions → Email Magic Link to Customer.

Product Price Updated

The price a member pays changes after you update it. No email goes out when the price they pay stays the same.

Check the badge on Product Price Updated. It can be Inactive, and members get no email about price changes until you turn it on.

Turn emails on or off

  1. On the Email Templates tab, tick the checkbox next to one or more emails. Tick the box at the top of the list to select all of them.

  2. Click Actions.

  3. Choose Active Email to turn the selected emails on, or Inactive Email to turn them off.

Members never get an Inactive email. Test Email still sends it to you, so you can check it before you turn it on.

Send yourself a test email

  1. Click Test Email next to the email.

  2. In the Send test Email window, choose an address from the Email list.

  3. Click Send Test Email.

The list shows the addresses saved under Allowed Email Addresses For Notifications in Shop Settings. If it’s empty, ask your store owner to add your address there. See Shop Settings: change how memberships behave across your store. The test fills in the details of your newest active membership. You can send a limited number of test emails each day. When you reach the limit, the app tells you how long to wait.

Get a copy of each email

Use an admin notification to see what your members receive, for example when a payment fails.

  1. Click Enable Admin Notification next to the email.

  2. In the Set Admin Notification Email window, choose an address in Email id.

  3. Click Save in the bar at the top of the page.

From then on, that address gets a blind copy (BCC) of every email of that type sent to a member. The button now reads Disabled Admin Notification. Click it to stop the copies.

The address list comes from Allowed Email Addresses For Notifications in Shop Settings. To copy other addresses, type them, separated by commas, in BCC Email on the email’s edit page. Disabled Admin Notification clears that field too. If Klaviyo sends your emails, add the address as a BCC in your Klaviyo flow instead. Omnisend doesn’t send these copies.

Change every email at once

Use Universal Email Setting at the top of the Email Templates tab to set one value on all your emails.

  1. Click Universal Email Setting.

  2. In Property Name, choose what to change: From Email, Logo URL, Logo Height(px), Logo Width(px), Logo Alignment, Heading Text Color, Content Text Color, Footer Text Color, Manage Subscription Button Text Color, Manage Subscription Button Color or Reply To Email.

  3. Enter the new value in Property Value. Start a color with #, for example #1F3A5F. For Logo Alignment, enter center, left or right.

  4. Click Save in the bar at the top of the page.

The new value replaces whatever each email had before, including the four bulk emails. The Universal Email Setting button on the Bulk Emails tab works the same way: it changes every email, not just the bulk ones. To change just one email, edit it instead. If you change From Email here, follow the rule in From Email below. This window doesn’t check the address, and an email with the wrong address won’t save the next time you edit it.

Edit one email

Click an email in the list to open Edit Email Template. The General tab holds the settings below. The Preview shows the email filled in with a real member’s details (Live Data). To preview it for another member, click the membership number next to Live Data and search by number, name or email. If you have no memberships yet, the preview uses Sample Data. When you’re done, click Save in the bar at the top of the page.

Section

What you can change

Email Sender Information

Subject, From Email, BCC Email (addresses that get a copy, separated by commas) and Reply To Email (where member replies go: your store’s contact email unless you change it). On the Upcoming Renewal email you also see the Upcoming Renewal Email Buffer: how many days before a renewal the reminder goes out, from 1 to 40.

Email Logo Information

The logo’s web address, height, width and alignment. See how to add a logo to your emails.

Thanks Image Information

The thank-you image’s web address, height, width and alignment.

Heading

The heading text, its color and an optional heading image.

Content

The message text and its color.

Billing Address

The billing address text.

Manage Membership

The text, link and colors of the button that opens the member portal.

Placeholder Texts

The labels in the email, such as Next Renewal Date and Payment Method, in your members’ language.

Footer

The footer text and its color.

In Content, Billing Address and Footer, click Add Variable to insert details that change for each member, such as their first name or next renewal date.

To add details such as product attributes to an email, see Adding Product Attributes To Emails (Memberships). To see the default text of every email, see Default email template content for Appstle Memberships.

Reset Email Template on the edit page puts the email back to its default content and design, after you confirm. It also turns the email Active, removes its admin copy and custom HTML, and sets From Email back to the Appstle address. On Upcoming Renewal, it sets the buffer back to 1 day. Your changes to that email are lost. Reset has no effect on Membership Canceled, Membership Product Replaced, Recurring Discount Code or the bulk emails.

From Email

When Appstle sends your emails, From Email must end with @app.membership.appstle.com. If you set up and verify your own sending domain, it must end with that domain instead. See How to set up a custom email domain - Memberships. To show your store name as the sender, type it before the address and put the address in angle brackets, like this: Your Store <sender address>. When Klaviyo, Mailchimp or Omnisend sends your emails, this rule doesn’t apply.

Your own HTML

The Custom tab lets you replace an email’s layout with your own HTML. Custom HTML isn’t available on every store. If Enable Custom Email HTML is greyed out, contact our support team about it. See how to set custom HTML templates for email notifications.

Send an email to many members at once

The Bulk Emails tab has four emails for messages such as a sale or a nudge to paused members. Each goes to one group of members.

Bulk email

Goes to

Bulk All Memberships

Every membership, whatever its status.

Bulk Active Memberships Only

Active memberships.

Bulk Paused Memberships Only

Paused memberships.

Bulk Cancelled Memberships Only

Canceled memberships.

Bulk emails need Klaviyo (with email turned on), Mailchimp or Omnisend (with email turned on) connected. Until you connect one, a banner on the tab says so and its buttons are greyed out. Click View Integrations to set one up. With Klaviyo or Omnisend, build a flow there for each bulk email you send. Appstle tells that service to send, and the flow sends the email.

To send a bulk email:

  1. Open the Bulk Emails tab.

  2. Click Edit next to the email and write your message. Edit it the same way as any other email.

  3. Click Test Email to send yourself a copy first. If Klaviyo sends your emails, this test doesn’t arrive, so preview the email in your Klaviyo flow instead.

  4. Click Send Bulk Email and confirm in the Are you sure? window.

Each membership gets one email, sent to the email address saved on it, so a customer with two memberships gets two. Memberships without an email address are skipped. Every send is recorded in the membership’s activity log. Enable Admin Notification on this tab works the same way as on the Email Templates tab.

Things to know

  • Under Subject, the hint reads “It will be sent when someone purchases the membership” on every email. Ignore it. The subject you enter applies to the email you’re editing.

  • On most emails, the text under Reply To Email that starts “This determines how many days before the membership renewal date” is about the Upcoming Renewal Email Buffer. Only Upcoming Renewal has that setting, so ignore the text on the other emails. If the buffer is set to 7, the reminder goes out 7 days before the renewal.

  • Emails go to the address on the member’s membership. A member whose membership has no email address gets nothing.

  • The Activity Log button at the top of the page lists the changes saved on an email’s edit page, including which email changed. On the edit page, More actions → Activity Log shows the changes to that email only. Changes made with Universal Email Setting or Reset Email Template aren’t listed.

  • If Klaviyo sends your emails, saving an email also sends Klaviyo a test of it for the first address under Allowed Email Addresses For Notifications, so your Klaviyo preview shows the new text. It counts toward the daily test email limit.

Troubleshooting

A member didn’t get an email

  • Go to Memberships, open the membership and click Activity Logs. Most emails to that member are listed there. Go by the Status, not the Notification text, which can read “Email Sent” even when the email wasn’t sent. If the status is Failure or Info, click the Notification text to see why.

  • Check that the email is Active on the Email Templates tab. Product Price Updated may be Inactive.

  • If the membership shows Email Sending Blocked, an earlier email to that member bounced. Check the member’s address with them, then tick Unblock Email on the membership’s page.

  • For Upcoming Renewal, check that Stop sending upcoming order emails isn’t ticked in the Upcoming Order Email card on the membership’s page.

  • Memberships you import don’t get Membership Created.

  • If Klaviyo or Omnisend sends your emails, check that the flow for that email exists there and is live, and that the email stays Active in Appstle.

  • Ask the member to check their spam folder, and send yourself a Test Email to see how it arrives.

  • When you’ve fixed the cause, you can send the email again. See Can I resend an email to a member? below.

  • If none of your members get any email, contact our support team.

“From Email must end with @app.membership.appstle.com” when you save

When Appstle sends your emails, From Email must end with @app.membership.appstle.com. Once your own domain is verified, it must end with that domain instead, and the message asks you to use your custom domain. Change the address on that email, then click Save. This can happen when From Email was changed with Universal Email Setting, which doesn’t check the address. See From Email above.

Test Email lists no address

Ask your store owner to add your address under Allowed Email Addresses For Notifications in Shop Settings. Only they can change that list. See Shop Settings: change how memberships behave across your store.

Send Bulk Email is greyed out

Connect Klaviyo (with email turned on), Mailchimp or Omnisend first. See Send an email to many members at once above.

FAQs

Can I change when emails are sent?

You can set how many days before a renewal the Upcoming Renewal reminder goes out. See Edit one email above. The Email Settings page has no timing setting for the other emails.

Can I stop renewal reminders for one member?

Yes. Go to Memberships, open the membership and tick Stop sending upcoming order emails in the Upcoming Order Email card. The member still gets the other emails.

Can I resend an email to a member?

Yes, if the email is Active. Go to Memberships, open the membership and click Activity Logs. Click Email at the end of the newest entry for that email, then confirm in the Resend email window. The member gets the email as it reads now. If a lock button asks you to upgrade instead, your plan doesn’t include resending.

Do the emails use my store’s branding?

You choose the logo, colors and text on each email’s edit page, or on every email at once with Universal Email Setting.
